I started a new computer system in April, so I have information from the 1st quarter in my old system that would take time to enter into the new system and was thinking of printing W2's from both systems and giving some employees 2 W2's for the year. I called IRS and they suggested I combine them and give them one, but didn't say I couldn't issue 2 separate ones.
Responses: We've issued two W-2's to a single employee if they work for both the town and the school department, so yes, we have. (Ruth Porter, Scarborough)
I was talking with someone that works for a payroll company and has to issue W'2 forms at the end of the year it is not recommened that you issue 2 w'2 form to the same person. I also issued 2 w'2 forms one person and ended up doing a correction on the W'2. (Kari, Thorndike)
Under our old payroll system we gave out two W2's for many years to a couple of different employees. The same employee was a fireman and then an employee of the town road crew. Now under Trio it will combine them due to the social security number. It's easier now, but they never had a problem getting 2. (Michelle, Guilford)
Here in Gray we have NDS and there is a way to consolidate the record. The system looks at the employee's SS#. After you build the work file you then go to Option #20(Utilities) and select option #5(Consoliate Records). It works great. (Diana Cronin, Gray)
I have issued 2 W-2 forms to the same people. Like Ruth I do both town and school and I find that if I combine them that I will get calls from a lot of people that they did not receive one of their form. I have never had a problem. We changed from NDS to Munis in July 2006 but we did do the YTD information from the NDS to the Munis. The problem I see you my have is that you are doing it from two differant systems. I know that last year we were told we could do that but as I said we did decide to do them all from the Munis system. (Mary Hill, Yarmouth)
In Biddeford, we had the same deal back in '95 and we issued separate W-2's from each system. The employee just has to combine the numbers on his/her 1040 just as if there were 2 jobs. (Curt Koehler, Biddeford)
I have a few firemen that are town employees and I set them up to they receive two separate w-2 forms each year. The IRS doesn't seem to care how many W-2 that each person receives. Good luck! (Norma Jean Spinney, Elliot)
